How to prepare a medical equipment RFQ
A well-prepared RFQ shortens the quotation cycle from weeks to days, because it removes the clarification round entirely.
Describe function before model
State what the equipment must do clinically. Model numbers alone exclude suitable alternatives and can inflate cost.
State quantities and phasing
Total units, delivery in one shipment or in stages, and any deadline tied to a facility opening or funding cycle.
Include site information
Power supply and voltage, room dimensions, door and lift access, available utilities and whether installation support is required.
Define commercial terms
Delivery destination, preferred incoterm, currency, documentation requirements and whether refurbished options may be quoted.
